Party Preparation

Hi again! Today is the last day of the week for me, so I just wanted to give an update on what I'm working on. Yesterday, I was in the warehouse pretty much all day helping Lily prepare for a dinner party that is coming up. I got to see the other part of the business, which is finding all the necessary equipment for the party, such as various dishes, forks, knives, glasses, etc. I cleaned all of them so they are ready to go when needed. I've been working on the website more, just added a bunch of new images to it! I still have some questions I need to ask Elissa before I can continue with anything. Today, I am going to be in the warehouse again so well see what I'm going to be doing. Have a good weekend =)

Today was dedicated to working on the Luxury Travel and Vacations website. I added new links to the site that we have never had before and added a lot of new information to it. It is coming together very well! I still need to make some adjustments and add some more information, but hopefully it will be ready to publish soon! I am excited for people to be able to see it! I really enjoy working on the site and being creative with it. Tomorrow, I will be in the warehouse all day helping organize the billions of boxes so I'm not sure if I will get a chance to post, but hopefully I will post soon. =)

Market Research

Today was all about market research. I looked up as many travel agencies as possibly to find out which wholesalers they were advertising on their websites to see if there are any that we don't have at the moment but might want to have in the future. I also looked at these websites to see how they organized their pages, so I could make adjustments to the Luxury Travel and Vacations' website that I am currently updating. The website is looking pretty good! I still have some work ahead of me before I show Elissa, but its coming along nicely. I have some new page ideas that I am going to run by Elissa and see if she thinks we should add them to the site! I really enjoy fixing up the websites because it allows my creative side to come out! I better get back to work... I'll post again after the weekend.

Summer Cleaning

Hi again! So yesterday, Elissa took me with her to meet a potential business relation. It was awesome to see the process you need to go through to form relationships with other businesses. I was able to sit in on the meeting and listen to the interaction between Elissa and the representative. It was a great learning experience! Today has been pretty slow. We have been pretty much cleaning up the office all day: putting papers in the right files, updating perfect production binders, etc. I also have been on the phone for most of the day contacting different businesses to send us updated brochures. There's probably 500 brochures that I need to go through! I can't believe how much work goes into having a business! You never really think of the tedious things like ordering brochures..at least I'm working on my communication skills. Anyways, I'm not really sure what Elissa has in store for me for tomorrow so I will blog once I know!

Last Week's Update

Last week I was pretty busy and didn't get a chance to blog, so here is what I did! I updated The Perfect Benefit website and added to the Kickball Tournament page! Its exciting to think that people are going to view my work. I also created a flyer for a White Water Rafting trip and I was able to see the real issue with having too much "negative space," which I had only learned about in textbooks before this internship. I also helped find items in the warehouse that were needed, which was very hectic because of the recent move to our new location! I went through many travel brochures to pick out the old ones so we can update them for our customers. This week, I am going to call multiple companies to ask for up-to-date travel brochures and I am going with Elissa to speak with a customer! I am very interested to see how she interacts with customers..should be exciting! I'll post again soon about the rest of the week =)

Exploring the Event Planning World!

Hi everyone! I am happy to say that I am the new intern at Perfect Productions. My name is Gia and I am a marketing major at Quinnipiac University. Today is my first day on the job, and I already love it! I just got back from studying abroad in Australia, which was an amazing experience. I saw so many beautiful places and came in contact with a variety of animals! I rode a camel, fed elephants, and touched stingrays, which not many people can say they have experienced! Although I had an amazing time, I am very excited to start interning and get back into a routine. I have to admit that I am not very familiar with the event planning scene, but I am ready to learn all about it! Being in marketing, there are many different aspects of the major, which is why I wanted to intern at a place completely different than my last internship. Hopefully, my plan will steer me in the right direction of what I want to do after graduation, which is in a year! (Scary!) I always loved planning events for my friends and family, and I am a very organized person. So when I saw Perfect Productions was looking for interns, I was SO happy! I already got assigned to the Annual Bachelor and Bachelorette Auction and the "Hope for Heroes Charity Kickball Tournament" which I am very excited about because its an honor to work with such great charities. I better get going to update the website for the events, but I will be blogging again soon so please look out for more posts! =)

17 Days

Today I worked from home. Elissa and Amanda had to go to New Jersey so they were not going to be in the office and since there is no Internet and phones or anyone in the office I worked on my couch doing some follow up calls for date packages. Right now we have more bachelors and bachelorettes than date packages so we need to step up our game and really get out there get some dates. We got a list of tasks that we need to get in order from Elissa today so we have to make priorities at this point to get everything done. I also went out to more restaurants today and its getting more frustrating with manager in meetings or at home depot. I have to keep trying though we don't know unless we ask. I just want everything to be great and I am sure that it will be. We have to get the bachelors and bachelorettes on board to sell some tickets as well. I talked to a printing company today and hope that they will do our printing as a donation to try and keep our costs down since we have a small budget to work with. Starting to feel the stress a little bit more as we get closer to the event.

Well the office is slowly but surely coming together. I went out yesterday to try and find some printers that would possibly be able to print out some tickets and flyers for us. I didn't have much luck. But I was able to go around some more an look for date packages and was able to get a few more, every little bit helps! The event is less than 3 weeks away and there are still a bunch of tasks to get done. It is going to be a a few busy weeks coming up but I am really excited to see it all put together.

Well Wednesday I did a lot of work from home considering I walked into the office and it was like walking into what Elissa calls her crayon box. We moved out of our old office and are in the process of moving into the new one. There is lots of new painting going on in the office each room is a different color. Yesterday I stopped by the new office and then headed back home so I would have access to the Internet. I was able to follow up with some more date packages and send out some more information about the event. I also spent the afternoon visiting some of the local restaurants in Middletown to get some date packages. My follow ups and visits paid off I was able to get some date packages. YAY!!!!!!! Jackie went to the Hamden area to check out some date packages and she had some great adventures and got some donations along the way. I am happy with the progress from yesterday but this event is in about 3 weeks and I still feel like there is so much to do. Its crunch time for sure!!!!!

Last week was pretty busy. Tried to follow up with some possible sponsors again and also worked on going over date packages and also narrowing down the list of things that needs to get to done and try to prioritize some of our tasks. By the end of the week we were consumed with a spare of the moment move of the office. This kinda put a hault on everything while we packed up. I never realized how much I depended on the Internet to do my work. Whether it be waiting for return emails or looking up different date info and contact information. Once we get into the new office and get settled it will not be long before the auction is here, I am getting a little anxious about some of our details that we need to still work out. Guess I get to keep the ball rolling on Wednesday when I return to the office.

Today was pretty productive. Got a bunch of great leads from Amanda and James for bachelors and bachelorettes. Hopefully we can get every spot filled for the number of participants we want. I did however manage to get through some of the bios for the bachelors and bachelorettes to post up on the website. I feel good about starting to get more applications back I am starting to feel like everything is slowly and surely coming together. Still have a bunch to do and get done but I am confident that it will all come together and be awesome. I know this post is short and sweet but that's kinda how my Friday was today.

5 Weeks and counting !!!!!

Well I spent most of the day working on getting some more sponsors. Looked through the Hartford Business Journal and sent out about another dozen or so requests for sponsorship or donations. Its very frustrating a lot of these corporations have forms that need to be filled out to ask for sponsorship. It takes a lot of time but if we can get some sponsors out of it then its worth it!!!! Also got some more applications back for bachelors, everyone seems to be interested but is spending a little too much time getting them back into us. Also got on the phone to a few people who thought we were producing a great event but are not able to give at this time. Got the emcee contract sent out to be signed so that's another item checked off the list. Right now we are only about 5 weeks away from the auction so we need to step up selling tickets in advance and we have to start dropping off flyer's and get the word out that we have the best party in town on April 16th 2011 ... so if your reading you better be there !!!!

Well it has been another busy week at Perfect Productions. We did get back a date package on Friday to put towards the auction and a rejection letter too. Can't win them all I suppose although we would like too. Jackie and I had spent most of Friday getting in touch with many of our local larger corporations looking for sponsorship. Most of them have very strict guidelines bout giving to local charities and sponsorship. Most of the people I was able to contact we not able to give at this time which is kind of frustrating. I am hoping that we can obtain more sponsor ship from our smaller local businesses. I was able to use the constant contact system to send out a mass email blast to about 500 people. The email contained all the info about the auction, the reasons, how to be a sponsor, a bachelor or bachelorette or to buy tickets and attend the event. I am hoping this will put out some more info into the community and awareness about raising money to support the Petit Family Foundation. I am ready to start fresh on Monday, my brain is starting to feel a little fried at this time so the weekend is going to be good recovery time. Hopefully next week we can get in contact with some more people and follow up with some more that we have already contacted. Well off for now stay tuned to see how next week goes !!!!! :-)

Sponsors, Dates and Donations Oh My!!!!!

Today I was in the office just Amanda and I everyone else is gone. I started working on my campaign to get date packages for our bachelors and bachelorettes, and boy I did a lot of that. I was working of a list Jackie and I have compiled went through and sent out emails to everyone to get the word out there. Friday I plan on making follow up calls in case my emails didn't get to the correct person or if the potential donators have any questions. This took most of my day!!! Some places I had to fill out special forms for donation requests and follow up with some missing info I needed to get from The Petit Family Foundation. But on the bright side, we have started to get back some of our applications from our bachelors and bachelorettes!!! That makes me happy!!! It is harder to find bachelors and bachelorettes than I thought. But that does not mean I am giving up. I have been getting super tired though between internship, school and work it is wearing me thin and its a lot harder to manage my time but I am doing my best and trying to stay focused on all my responsibilities. Just can't wait for Spring Break to have 2 days off !!! Then before you know it we are going to be pushing the petal full force to get everything perfect!!!! Can't wait!!!!

Today Jackie and I went to some really great restaurants in the area looking for possible date packages. It was good to get out there and let people know what's going on, however the rain didn't make either one of us to happy. We had a glitch in one of our flyer's but were able to fix it while we were out and about thanks to the West Hartford Library. We got some really great prospects and a lot of info passed out but still waiting for some solid responses. We will probably venture out again later this week to finish off our list. In the mean time I am going to send out some emails about the event to some people who are a little out of our reach to go visit. Hopefully we will get some positive responses and keep moving from there. I also finally heard back from one of our vendors about some price details we needed. So now Jackie and I can make a decision on what we want to order and get that also checked off our list. This morning I was also able to get our press release sent out ....... another item off the list but this date seems to be creeping up on us!!!

Has it really 10 days since my last post? My, time is flying by! Since I last posted an update, a lot has gone on. Adrienne and I compiled a list of potential date packages. Our ideas range from dinner dates, to mini golf outings, bowling, "day-cations", and even race car driving lessons! We hope to be able to get in contact with these companies within the next week so we can start lining up packages for the auction. All of the companies are from the local area, making it convenient for the winners of the date package to actually go on the date.
Along with the date packages, we've also been sending out application to potential bachelors and bachelorettes. We've been advertising our hunt for bachelors and bachelorettes on Facebook through our personal pages as well as Perfect Production and Fernando Fish's pages. We've also talked to friends and those we feel would be interested in the program and sent out applications to those interested.
Adrienne and I have also finally come up with an idea for the auction paddles! Originally we were thinking about making a bow tie or a pair of nerdy looking glasses to go along with the picture we chose for this year's event but eventually decided to stick with the date theme. For our design, we chose a white heart with a pair of red lips coming off one side with the number of the paddle on the other side. These paddles will be double sided so there's no need to worry about the numbers not being able to be seen during the auction. Adrienne and I decided we are going to make them as we go so we do not end up having to make a bunch of them as the big day approaches.

Auction Paddles.... Check !!!

Well Jackie and I put our brains together and came up with a great design for our auction paddles. We wanted to do this early because we have to make at least 100 of them. This way when we have some down time we can work on them between projects. Also our efforts with our Vegas themed party were not put to waste. We were able to use the decor we put together for a "Surprise" birthday party held at Zen Bar over the weekend. Jackie and I weren't able to make it because of some previous plans we had but heard the party was a good time had by all. I am still working on getting some more date packages and hopefully will be able to make some calls on Wednesday and get the ball rolling and hopefully get some great date packages. Still a bunch of details to finish up I am hoping to get some more information on food prices as well as some paper goods. Just another busy and productive day at perfect productions. Gotta get going on this I know before we know it the auction is gonna be here and Jackie and I both want everything in place so we can enjoy the event as much as everyone else will!!!

Well we are certainly getting our share of work lately! There is so much to do getting ready for the Bachelor/Bachelorette auction. We have been working on finding bachelors and bachelorettes and today Jackie and I had to start coming up with date packages to go along with the bachelors and bachelorettes. We came up with a really great list of of things to do and places to go. I am sure that the date packages are gonna go over really well. Starting on Monday Jackie and I are going on a road trip and we are gonna go collect us some donations to make this an awesome event. We are also looking for some great sponsors for our event. We really want to make our donation to the Petit Family Foundation the most important goal. Whenever I get frustrated I have to think that this is a great opportunity to give to an awesome charity and it makes it a little easier to push through all this work. There's a lot to do but I am sure the efforts will be worth it!!!!

We have also been working on a mock Vegas themed party. Coming up with center pieces and decorations that would make any Vegas goer feel right at home. We really personalized it which made it a little more time consuming but worth it! Besides its all about the details right!!!???

My, my time sure does fly! I'm already on my 4th week of my internship with Perfect Productions and it honestly feels like I just started a week ago. So far things are going great! Adrienne and I have just about finished all of the paperwork and the tedious parts of planning so we are about to start recruiting people for donations, sponsorships, and to be auctioned! We've already found a handful of people interested in being auctioned off but we would love to have more.

On Friday, I started going through last year's auction book and looked through the call log to see who they contacted last year about the auction. I was able to compile a decent sized list about possible date package donors. I also started getting more ideas about the type of companies we should look into for date packages. Now that the flyer is just about done as is the save the date, we can really start to promote the event. As of now, tickets are $35 if you buy them in advance and $40 if you buy them at the door. I must start off by saying I love the opportunities Elissa and Amanda offer me and Adrienne while interning for them. On Friday, they gave us the opportunity to plan a mock party to give us the experience of choosing decorations and planning out the details. Adrienne and I decided on the classic Las Vegas theme and came up with a slew of decorations we could have used if we were actually carrying out the party.

Between Friday and Monday, we spent the days specifying each detail of the "event" and even look through the back storage to see what we could use from the back, to cut back on the budget. We found a bunch of Vegas themed decorations, from cards to red and silver shred, and even little glass boxes which could be used for dice. I was introduced to a wonderful tool, the Cricut. This device is able to cut out various shapes, as long as you have the proper cartridge, making cutting out letters virtually effortless and flawless. After looking at everything we had, Adrienne and I began brainstorming what we could create.

At the end everything, we came up with the idea of creating red and white dice of different sizes and stacking them for the main decoration. We also found these large cards in the back that we thought would look great coming out of the top of the dice towers. To give the dice a little more Vegas feel, we thought it would be a good idea to have a few big poker chips on the tower. For the center pieces, we thought doing little black and red dice with small cards coming out the top, filled with dice, would be a nice continuation for the Vegas theme. Finally, just for decorations around the room, we thought sticking the larger cards out of big red tins we found in the back, covered in red or silver shred would be great.

Amanda and Elissa both loved our ideas and thought we were on the right track when planning decorations. Maybe, if someone comes in for asking for a Vegas themed party, Adrienne and I have given Perfect Productions a great head start on the decorations!

I'm so excited to announce the 2nd Annual Bachelor and Bachelorette Auction is well underway. On Monday, I was finally able to meet and start planning with the other intern, Adrienne. After a short while of getting aquainted with one another, we started to organize our check list and deligate the numerous tasks. Doing so, worked out great for us. We both know what we are good at and were able to select tasks that highlighted our skills. By the end of the day, we were able to set up a facebook event page, get the final drafts of all the contracts and letters approved, get the website ready for final review, and start to brain storm what we wanted for not only food and decorations, but how we were going to go about finding sponsors and bachelors and bachelorettes.
Adrienne and I were also able to sit down with Amanda and Elissa for a bit to go over the budget. They explained to us the different aspects of building a budget and even showed us last year's budget to give us a better idea. I really can't express how appreciative I am to have Amanda and Elissa there to guide us. While all this was going on, they made sure we understood what they were explaining and gave us helpful tips for things such as food selection, possible decor choices, and even ways to keep the budget managable.
By the time the day was over, I was thrilled with the progress Adrienne and I had. As of now, we are planning on creating a program which includes bio's on all the bachelors and bacheloretts. In order to accomplish this, Adrienne and I must stay on track and start looking for people as soon as possible. I was so glad we were able to get the more technical things out of the way so we can really start to plan the specifics for the event.
By the end of Friday, we will hopefully have a solid list of sponsors to contact, a start list for bachelors and bacheloretts to contact, a rough idea of what food we will be serving at the auction, as well as a rough time line for us to accomplish each task by. I'm thrilled to be working with Adrienne and hope the rest of this planning proves to be as smooth and efficient as our first day together!

Here we are day One!!

Well here I am starting day one of my 3 month internship with Perfect Productions. I always knew I wanted to be involved with events such as parties, weddings, corporate events and charity events. Last fall I started looking into Event companies in the CT area. While doing my research I came across Perfect Productions. I thought this would be such an awesome opportunity for me. I emailed Elissa and a week later I met with her and Amanda and knew I would be able to learn so much from both of them. So here I am!!! I am currently a Senior at Central Connecticut State University and I am studying Hospitality and Tourism Studies and if all goes as planned I will have my BS Degree in Dec 2011. I also currently have an AS Degree in Hotel Management from Johnson and Wales.
My first day of course was filled with a lot of user names and passwords to be established so that Jackie (my intern partner) and I can get started working on the 2nd Annual Bachelor/ Bachelorette Auction to raise money for The Petit Family Foundation. Jackie had started the week before me and she is off to a great start with all the information that we need to get collected. I'm glad that I am going to be working with her! By the end of the day Jackie and I decided what we want to get accomplished this week, we need to do food budgets for the event, get some great sponsors and get started on ticket sales as well as finding our auction bachelors and bachelorettes. After what seemed like forever, I returned in the office for the 2nd day. Unlike on Monday's, when I work on Friday it's a full day. My day started off a little rocky with some car issues and by the time I arrived at work I was hoping things would turn around. Luckily for me, they did.

Elissa gave me the task of working on the website for Perfect Productions' newest department, The Perfect Benefit. This department, as one can guess, is going to be dedicated to benefits. I started making the different pages for information on the bachelor and bachelorette auction along with the the kickball tournament. I've never created a website before but I was very excited to use my creative skills to create a website I felt reflected what Perfect Productions is about. After it is done, visitors will be able to get information about the different charity events. They can download the various forms for the events as well as learn more information about the programs. One thing I hope to do is create a page dedicated to the bachelors and bachelorettes so people can scout out who will be auctioned off before the actual event.

Around lunch time, I went with Elissa and Amanda to my first vendor meeting. We went to Powerstation Events in Cheshire to pick out a DJ for a wedding. While we were waiting, we were looking through some pictures from other weddings. While going through them, Elissa and Amanda would make a comment here and there about details most people would overlook. I was extremely impressed and did my best to remember what they were pointing out because I feel it's the little details that make things perfect and have the events stand out from the rest. It was interesting to see all the different things that go into picking a DJ. Most would think it would be quite simple but there are really things you need to think about when picking one. The budget, time length, music type, and DJ personality are all things needed to be taken into consideration.

On Monday, the other intern will start working. I'm excited to meet her and start plannging things for the auction, and especially looking forward to having someone to bounce ideas off of and to provide a different perspective. Check back soon for a new update on how things are going!

Today was the last, first day of classes for me. To put even more pressure on such a bitter sweet realization, my professor felt the need to inform the class that there were only 117 days until the seniors would be part of the 'real world.' Immediately, a plague of fear and anxiety swept across the class. Students murmured from one to another about how they had no clue what they wanted to do or if they even had the means to accomplish their goals. I'll admit I was a little jolted by my quickly approaching graduation but I was also excited for what was in store within the next 117 days.

I have been fortunate enough to be chosen as one of the newest interns with Perfect Productions. Located in Farmington, CT, Perfect Productions is an event planning company that I'm am extremely excited to be a part of and learn from.

Now, to introduce myself, my name is Jackie and I'm currently a senior, Public Relations major at at Quinnipiac University. My journey to the event planning industry has been just that, a journey. When I originally enrolled at QU, I was a PR major and was very curious to look into the event planning industry. I've always been someone who loves to plan get togethers among friends and loved the idea of working with people and making their special days perfect. After my first semester, I decided to leave the PR world to become a teacher (I have always enjoyed working with children). Well, after being a math major, psychology major, and getting accepted to QU's Master's program for teaching, I found myself feeling like leaving the PR world was a mistake and switched back to a PR major (amazingly with my parents support!) Well long story short, I continued in the PR program and was thrilled when I received an email that Perfect Productions was looking for a spring intern.

When I finished my interview, I could not stop gushing to friends and family about how badly I wanted this internship. The company is made up of extremely talented people and their events show just that. This semester I've been given the assignment of working on the 2nd annual Bachelor and Bachelorette auction. It is for the Petit Family Foundation and I am so honored to be given the privileged to give back to the foundation and contribute to their great cause. Over the next few weeks I will continue posting blogs about my experience at Perfect Productions, so please check back for updates!

One More Day to Go!

Yikes! The past three weeks have gone by so fast for me; I do not even know where January went it seems. Tomorrow is my last day and I cannot believe all the progress I have made since day one. Today just seemed to fly by because I was so busy. I had to come up with a plan for the rehearsal dinner in the morning. After that Amanda taught me how to write up a final script for an event. A final script is a step by step, minute by minute write up of all the parts of an event. A script allows the planner and the people working to have a schedule for the event. Its good to know exactly what is happening at all time. It not only saves time and confusion but keeps things running smoothly and if a problem does arise they are easier to fix with an agenda of more ideas. I spend the whole day working on my final script. As I prepare to leave the office I am still not done with it. Its a lot of work to make sure that every little detail is planned out to a tee. Tomorrow I have to keep working all day long to finish everything up. I will have to hand in all my work from my internship binder. I'll also will have finalized all my wedding plans. I'll also have one last meeting with Elissa to go over my evaluation of my internship. I cannot wait to finally have everything completed for tomorrow. I cannot believe that I have only one day left!

Getting Closer and Closer

So we came back today from another a day off, since the ice storm from last night left us all stranded at home. Today, I was busy from start to finish. Since I lost a day of work yesterday I had to do double up on the work to try and catch up. Also, because my wedding plans are coming to an end I have to really start to wrap up the lose ends. I finalized the menu with Elissa today. I also researched and picked out a photographer and videographer. I received a quote from a local DJ to get prices on how much it would cost to do a ceremony and reception. It was interesting to see how prices, service, and the styles of work vary from each company. Every place has their own professionals with their own work styles which make the products all come out so different.
I also worked on my redoing my resume. I met with Elissa on Monday to talk about how I can update it so that it looks more professional and unique. I also had a incident report due for today. I was given a scenario and had to write up and incident report on it. Incident reports are exactly what they are called; It is a report that should be done a soon as possible after an incident documenting what happened. They are very important to keep not only on file to show as evidence when going over the cause and reason for the problem.
As the day comes to a close once again I go through my wedding packet filling in some more of the blanks. Since I did make so many final decisions today I had a lot of sections to fill up. With only 2 days left its down to the wire and time to finish up my wedding plans. Can't wait !!!

The Final Week

Today was another busy day at the office. Everyone was busy with meetings all day while I worked on my wedding project. I had a my own meeting with Elissa today to go over some of my questions. I was able to get my bigger questions out of the way so I can start to wrap up the plans. I also worked on and completed my honeymoon plans. I am sending my wonderful couple to Bora Bora for a week to enjoy the sun and sand. I also worked on the wedding packet to fill in some more of the blanks. This is my last week so everything really has to be completed and ready to be handed in by Friday. Tomorrow is another busy day because I have a meeting with Amanda about some of my wedding budget questions. I will be working on the entertainment for the wedding as well tomorrow. Its going to be a very busy week for me because there are so many things that need to get finished before my wedding is complete. I just hope impending snow storm does not mess things up!!!

2 Weeks Down One to Go!

It is Friday so the week has come to an end. Today was different than most days because we spent most of the day at the Connenticut Expo Center in Hartford. Perfect Productions put up a design for one of thier vendors. There is a bridal expo coming up so the place was packed with wedding gowns, tuxedos, limos, and flowers. It was quite a sight to see expescally because I have never been to one before. Besides the trip to the Expo it was a reagualar day of just working on my wedding. I completed as much as I could for this week and cannot wait to have it all finished for next week. I also did my evaluation and goals for the week along with re-doing my resume. Another fun project I got to do for today was a themed menu project. I had to pick a theme and make a menu ecouperationig it. I picked the 1950s theme for my menu. I love that kind of simple good tasting food from back in the day. Milkshakes and fries are some of my favorite foods so I really had a great time designing then menu with my mouth watering at the thought of all that food.
As the week comes to a close I am realizing the I only have 5 days left here. It seems like I have done so much in the past 10 days but so much more is needed to be completed. I look forward to finally putting the finished touches on my mock wedding for next week. Enjoy the weekend!!

Recovering from the Storm

Connecticut had a huge snow storm Tuesday night. The snow reached a state record high of over 2 feet and prevented many people including us from going into work. Its Thursday and after a day off its time to get back to work. Losing a day in the week did not really put me behind in work. Elissa was snowed in all day so it was just me and Amanda in the office. I worked on my wedding as usual. Today I really wanted to start and fill in the blanks with some budget questions. On top of that I had to design an invitation and a save the date. I followed the same design that is used in the decorations in the wedding for both. Tomorrow I want to finish up both my engagement and wedding announcements. In attention to that I have to do my goals for next week and my evaluation for this week. But my main project for tomorrow is a themed menu. Sounds like a fun project and I'm looking forward to keeping my imagination running wild on the last day of the week. With only a week left the final touches in my mock wedding are finally starting to come together.

Preparing for the Snow

Today was a another busy day at the office. Due to the huge snow strom coming tonight into Wednesday I tried to not only to complete my work for today but also for tomorrow. Once again I spent my day trying to make progress on my mock wedding. I designed a center piece for my table today. I ended up coming up with a different design then the one I had orgianally put on my insperation board. This one has more a beachy feel to it but still has the theme of the wedding colors. It is a glass bowl filled with a layer of sand an pebbles. A candle is placed in the center with water and floating flowers that match the other flower arraingments. I spent the rest of the day just trying to organize my ideas. I plan on taking some of my work home tonight so I can work on somethings tomorrow if we end up not coming in due to the snow. I have yet to have a meeting with Elissa because her and James were at a photo shoot for the day but I keep emailing her with any question I have. I hope to have a meeting with her on Thrusday to get some of my biggger questions answered. I wrapped up the day with just cleaning up my desk and preparing myself for the work to take home. They say a huge storm is coming our way so looks like we will not be in the office tomorrow, hope to be back on Thursday. Until then we will all enjoy the day off and I will try and keep up with my tasks so I do not fall behind.

Back to Work

Its another Monday and the week begins all over again. I came in today ready to work. I thought about my wedding plans quite a bit over the weekend, so I was anxious to come in and get started. All day I worked on my mock wedding. I began working on my table design for the wedding. I researched different wedding table layouts to try and find a design that I thought would work best for my wedding.
Besides drawing up the design I found a game to play for my FISH Philosophy presentation. The FISH Philosophy game has to deal with ways of improving a workplace through playing, making each other's day, choosing your attitude, and being here now. All these ideas go into making the workplace enjoyable and productive. I had to come up with a game to help demonstrate a way for us all in the office to improve team work. It has to do with M&Ms but that's all I'm saying for today. You'll have to find out more when the game is finally played!
To wrap up the day I worked on my Intern Evaluation Sheet. It is a really good way for me to reflect on how I think I am doing here at Perfect Productions. I tell about the tasks I completeled in the past week and how I managed to do that. Doing this allows me to see how much I really am doing over the week. I can see if I am meeting my weekly goals and if not how I can improve so that I can do better the next week. The evaluation also gives me the chance to ask my supervisor any questions I may have. Even though I do ask questions when ever I am confused its a nice chance for me to write down questions might have for the future or are not needed to be answer at that exact moment.
Tomorrow I continue to work on my wedding plans. I hope to have a meeting with Elissa and James (my mock bride and groom) to get some of my questions answered in order to continue on with my projects. I also have to work on a center piece design for the tables as well. Looks like its going to be another busy day!

Wrapping Up the Week

Today I had a whole checklist of things I needed to have done before the end of the day. Even though we were supposed to have a snowy weather the lack of snowflakes outside all afternoon made it so we could stay at the office all day to get work done. I finished my inspiration board first thing this morning so I could get that project completed. After that I prepared myself for my meeting with Elissa to go over some questions I had about the wedding venues I looked at. I never was able to get to my meeting because Elissa left for the early for the weekend. So, I spent the rest of my day alone in the office with Amanda. I worked on goals for next week; which really are just to keep up with the timeline of work due. I have more projects due for next week so I planned out everything I have to do for each day so I can stay on task. Come Monday morning I will start off with my meeting with Elissa and then get straight to work on my project due for that day.
My first week of interning comes to an end and I honestly do not know where the time went. Everyday I was full of stuff to do in the handbook, for my supervisors, and the mock wedding assignment. The days have flown by and I can not believe the one week is done. I hope to finish my wedding on time along with my other tasks. Everyone here has just been so welcoming that I know if i have any problems they have no problem with lending a hand or words of advice. As the week comes to a close its time to relax and enjoy the snowy weather before its time to start over again on Monday.

Busy, Busy

Well today was one busy day! I came into the office ready to work all day on my introduction board. All morning I spent my cutting out the perfect pictures, matching colors, and trying to make sure all of the ideas blended well together. I hope that Elissa likes it. Trying to put it all together is a lot harder than I thought it would be. It seems like every two minutes I come up with new ideas for the board but I have to just pick one layout and glue it down. I was unable to actually finish the board because we all left the office early today to meet with a bride, her family, and the caterer. Before we went to see the caterer though I experienced my first cake tasting with Elissa, James, and Amanda. All I could say about that is, YUM, YUM, YUM! All the cakes were delicious and unique in their own special ways. I never tasted wedding cake before and its defiantly beats any box cake.

After testing the cake we all packed up and headed to the reception hall for the client's wedding. Sitting in on the meeting gave me the chance to see, hear, and learn about planning the food aspects of the reception. There are so many different things to go over. Questions about the size of the chairs, numbers of waitstaff, menu options, and reception times were asked in the meeting. My head was spinning with all the information coming in all at once, but at the end of the meeting I was able to understand more of the wedding and grasp how the planning process of it works. It was a long busy day and tomorrow I have so much to do before the weekend begins!!

Piecing Together the Right Look

So today I just sat at my desk letting my imagination run wild about the mock wedding. I looked through bridal magazines on ideas for a venue, dresses, cakes, and flower arraignments. I browsed the Internet all day trying to find flowers that would match perfect for my inspiration board due tomorrow. I looked at what seemed like millions of wedding cakes trying to decide which one would give off the look I am trying to create for the wedding. Tomorrow I plan on just working on my inspiration board to be presented. I think I have the right feel on what the bride wants for here big day I just hope all the ideas I have in my head I can have put down on paper. So the wedding planning took up all of my day but I still feel like I need more time to work. The thing I have learned the most out of my first three days is that not only weddings but any event has so many details beyond what meets the eye. There are so many steps that have to happen in order for everything to work out just right. Also, if one step or aspect of an event were to be over looked a domino effect of things being forgotten can occur. The planning process can not continue if step one is not completed in order to move onto step too. In planning you have to make sure you cover all of your bases. When you are planning a memory for someone else you have to ensure that it will nothing short of a great one.

Day two of my internship and I am already realizing the amount of work and effort it takes to plan an event. I am officially starting off with planning my mock wedding. I met with Elissa today who is my mock "bride-to-be" on what her thoughts are about her wedding. Even though I felt as though I asked a bunch of questions there was still things that I completely looked over. I started looking in some of the many wedding books and magazines in the office right after the meeting to start my planning process. After reading some articles and looking at the checklist of things that need to be done I quickly came to terms with the fact that there is more to a wedding then just a venue, guests, floors, dresses, cake, and food. Even though it is a big task to do in such a short amount of time I am super excited to learn all the details that go into planning a wedding. Ever since my meeting ended with my mock bride, Elissa, ideas and thoughts just keep popping into my head.
In the beginning of the day I completed my tool box assignment. I had to imagine if I was on a deserted island and had only a toolbox to fill of things I would need for events that would take place on the island. I filled it will emergency use items like first aid kit, flashlight, medicine, and an inhaler. I also included a walkie talkie and cell phone to insure ways of communication. Some of the most important items were a planner and a watch. A party planner has to be organized, on time, and prepared for whatever comes her way. Having a planner and watch can help with making sure that things are not only organized but are running on time and according to schedule. Some of the last things I picked were makeup, bobby pins, a comb, safety pins, and a sewing kit because you never know what might go wrong or has to be fixed last minute in an outfit. The activity was fun and creative. It really had me think about what things that might not big so big in a production but can come in handy.
One of the last things I had to do today was to stuff envelopes with "Save the Date" cards for an upcoming wedding. I also finished the case study for the week so I can really focus on my mock wedding plans for the rest of the week. As I close with my second day my mind is going crazy with thoughts on my project and I cannot wait to start working on my inspiration board tomorrow. So let the wedding planning begin!

Day One of Interning

Hello, I am Paige Borda and I am a freshman at Endicott College in Beverly, Massachusetts. Today was my first day of interning here at Perfect Productions. I have been anticipating this day for quite some time now. Especially only being three days into the new year I really cannot think of any better way to begin then to start off with an exciting new learning opportunity. Walking into the building today I did not know what to really expect but the warm welcoming from Amanda quickly put my nerves at ease. She presented me with my internship binder. The internship binder may look like it is a lot of reading but the information inside is nothing short of being useful and interesting.
Since everyone was coming back from the holiday there was a lot of catching up going on between Amanda, Elissa, and James. Just hearing them share their stories showed me that they are more than just co-workers but friends.
After our short little meeting on introducing me to Perfect Productions and what I can expect over the next few weeks, I got straight to work. I am only here for three weeks so I have little time to cram in A LOT of information. I am super excited though because I will be planning my own mock wedding! One of the first steps for me to do is to interview Elissa as a soon-to-be bride and ask here all different questions about her wedding. So, today I have came up with what I think are some pretty important topics to touch upon and first thing tomorrow will be the mock interview. After I completed my questions I filled out my weekly goal sheet and glanced through the internship binder. To end my first day I stapled on postcards to the Southern New England Wedding magazine. Perfect Production has 2 full pages in the magazine!! The spread looks amazing so as to help with promotion I stapled on the cards pointing out the article and details about what Perfect Productions has to offer clients.
So, all in all my day went by quite fast. Tomorrow is a new day and I cannot wait to see what is next for me to do in the process of planning my mock wedding. My next assignments look to be the toolbox training and an inspiration board. I cannot wait to see what I have in store for me!

One Week Left :(

Today I realized I only have one week left- 2 days- and I can't believe it! Time flew by and I feel like I have learned so much, but still have so much more to learn. I can't thank Elissa and Amanda enough for all they have done for me... I don't want to leave! :(

While in the office today I went through all of my assignments to make sure that next week when I am done, I have completed everything I needed to. Pretty much everything is done so I was all set!

Everyone is focused on the JDRF event today that is this weekend. When I came in Elissa asked me to measure the posters that they ordered for the event. They are all different sized french themed posters that are going to be at the event this weekend. After I measured them all I had to go and get foam core from Blick to mount them all on. They look so nice!

After that I spent some time creating a certificate of appreciation to send out to everyone who was involved and helped at the auction last week. I sent it to Elissa and am just waiting for her approval. I want to get them all done and sent out on Tuesday so that I don't leave any loose ends on the auction before I leave. I also wrote a thank you letter to all of the participants to be sent out with them.

Post Auction!

On Tuesday I came back in to work and felt almost lost without the auction to focus on! I can't believe it happened already and was such a success. When I got into the office I had to go through the remaining tickets and make sure all of the them were accounted for and we had the right amount of money to match up to them with. I also had to go through and make sure that we had everything we had brought with us to the Zen Bar on thursday for the auction and put it all away.

After that I helped Elissa by finishing the Black and White table in the showroom. I had to finish the chairs which match the centerpiece. Then I worked on my Nautical table some more. I have sort of been neglecting it lately with all of the Auction stuff going on. I was able to add rope to different aspects of the table as a nice accent to the netting overlaying the tablecloth. I added some of the rope onto the stem of the wine glasses by wrapping it around and hot gluing. Then I added it as a border around the chargers. Lastly I intertwined rope into the prongs on the back of the chairs. I think it looks really good so far. I also finished up my Nautical themed menu to pair with the table and submitted it to Elissa to look at.

Later in the day on Tuesday, Dr. Petit and his father came into the office. We invited him to come by and accept the donation we were giving him from the money raised at the auction. It was so nice to get to meet him. We took a few press photos with them and then presented them with a check. We were able to raise over a thousand dollars for the Petit Family Foundation! Seeing Dr. Petit and how appreciative he seemed for our donation made all of the work we put into the event seem worth it.

The Day of the Auction!

The day of the auction I came into work and wasn't feeling well and hadn't been for the last couple days. This was just another reason why it was so important to be organized and not leave things until the last minute- you never know what is going to happen the day of the event and you need to be prepared. Luckily as the day went on I started feeling better.

When I got in, I had to finish the paddles and then when I was done with that I went and pulled everything from the back room that we needed for the day- walkie talkies, dishes, clip boards, tools, etc. We had a packing list that I had to check off as I pulled it, as I packed it, and then later when it arrived at the bar. After I finished getting everything together that needed to go with us, I put the centerpieces together. Then I packed the cars with Amanda and we brought everything over to Zen Bar!

We met Elissa there and all set everything up. Eventually the bachelors and bachelorettes arriced and we did a run through with them. I had to start the night off by introducing Damon Scott and explaining the foundation. I was nervous about speaking in front of everyone but got over my fear fast. Once I was in the moment I was able to forget my nerves and remember that it was my event and it was the last thing I had to do.

The auction turned out to be an amazing success. I couldn't have asked for a better night. So many people came out to support us and the Petit Family Foundation. Everyone kept telling me fun time they had. I'm SO happy I got to be a part of such an a great night.

Last day before the Auction!

Last Tuesday was a crazy day! There was so much left to do and I was feeling a little overwhelmed. I got a lot done- I wrote the whole script for the night and organized all of the bachelors and bachelorettes with the date packages which we randomly paired, I went and go the bamboo for the center pieces, I picked songs to pair with each bachelor as they entered, and I started making paddles. I ended up being in the office until 9pm before I had a little panic attack and had my lesson taught to me by Elissa and Amanda- When you need it, ask for help. I had asked for help and Amanda did so much for me that day to help get things done, but what they wanted me to learn was that when you are in over your head you should speak up and ask for help and not wait until the last second to do it. If you are organized and know what needs to be done way ahead of time, not only can you manage your time better, but you can also assess whether or not you can realistically get it all done by yourself.

Crazy Day of Auction Details

Last Thursday I met with Elissa and Amanda and made a list of all of the things that were left to be done before the auction, which is this thursday. I had to contact the Petit Family Foundation to see if anyone would be attending. We want to make them a VIP table if they are. I also had to email all of the bachelors and bachelorettes to let them know the details of when they should arrive, what they should wear, and things like that. Then I emailed Tristano to ask him to have Damon Scott talk about the auction on air.

I also had to work on some things that we need at the auction. We had to go over what we need for centerpieces, lanyards to ID all of us, a program for the event, etc. There was alot to do and I have to continue with it all today.

Catching Up on Assignments

Today Elissa and Amanda had a meeting to go to so I spent the morning in the office alone. While they were gone I was able to get alot done on assignments in the intern manual that I had been putting off because of auction stuff. I was able to get three case studies done! I still am not a huge fan of doing them, but they're getting easier with the more I do.

After that I worked on my engagement and wedding announcements. I started by reading over the section in my handbook on what should be included. I learned that using full names and mentioning both sets of parents and where they are from is really important. A wedding is a big thing and it is important to recognize parents in announcements related to the wedding, not only because it is their baby getting married, but also because they usually are the ones taking care of the bill.

After I wrote those, I started making a list of things I would want in my toolbox. Then Elissa and Amanda got back so I switched gears and went back to working on the auction. I made a list of all of the bachelors and bachelorettes we have so that it is organized. Then I printed off tickets. In a few minutes I'm going to head over to local businesses and see if anyone is interested in buying tickets to the event. I can't believe that it's next week already! We still have alot to do, but I am sure it will all come together great!

Busy with the Auction!!

Today I've made alot of calls. We are getting down to the wire and need to try to get in as many donations for the dates as possible. Today I followed up on a lot of calls that Jillian had notes on, but nothing in from yet. I called alot of local restaurants and had to fax out donation letters to all of them. Hopefully when I come in on Thursday some of them will have gotten back to me.

When I got in today, donations from the New Britain Rockcats and 6 Flags had come in. Hopefully on Thursday more will arrive.

Besides making the calls for the auction and working on that all day, I also created a new themed menu to go along with my nautical table design. Hopefully today or Thursday I will have time to finish that up and put it all together.

When I leave today I will be stopping at the Zen Bar to drop off some more flyers to put on display and also stopping by California Pizza Kitchen in Farmington to pick up a donation for the auction!

Lots of Stuff!

Today was a really busy day. I started off by going with Elissa to the site of an event we are planning. We had to meet with the woman in charge of it and measure out the room. Making sure you have the proper measurements of the space you are working with is obviously important because you need it to plan everything from table spacing to figuring over the whole configuration of the event.

After that I worked on my showroom table a little bit. I brought in with me today a blue metal lighthouse to use as part of the centerpiece, an anchor, and a bouy. I still need to spend more time figuring out the set up of it all and plan the menu to go with the nautical theme but got distracted with the auction...

While I was working on that Elissa and Amanda called me in for a meeting. Jillian is no longer interning here so we had to get everything squared away and see what we was missing, then fill in the wholes. We went through all of the details we have up to this point and all of the donations. Then we brainstormed ways of increasing ticket sales and getting more donations. Karen came in shortly after and we all worked to get more donation letters out and we got a few more commitments today! I also updated the flyer and sent it out to a few places that are donating, and when I leave today I plan to bring it over to the Zen Bar so they can advertise the event.

Now I am about to help Amanda with a chamber of commerce event they are doing...

Nautical Table!

Today was a somewhat busy day. Right when I got in today the party rentals truck was getting here and Amanda and I had to take inventory of all of the items we ordered to redo the showroom tables. We then had to rearrange everything and decide what themed tables would be going where. I created my nautical themed hightop today and it looks pretty good! I am not fully finished with it yet; it still needs a centerpiece, the menu, and a few fun accent pieces to be added on. I plan to get those in the next couple days so I can hopefully put the finishing touches on it on thursday!

Today we also got the contract from Damon Scott in so he is officially the MC for the Bachelor and Bachelorette Auction! Thursday I need to print off flyers and distribute them around town.

Theres alot of work left to do so thursday should be busy!

Showroom table and catching up

Today I worked on different assignments from our intern manual. I was behind in my case studies because I've been so focused on the auction so I did 4 of them today and got myself all caught up! After that I remade my resume and gave it to Elissa to review which was another assignment. I'm glad that our intern manual has us doing the case studies and having our resume reviewed. I think the case studies are great review and practice for me to learn more about the business. With the resume, I thinkt it is great that Elissa cares so much about our future careers that she would make it an assignment so that she can go over my resume with me and make it the best it can be to get myself a job after I am done with my internship here.

After working on these, Elissa and Amanda met with Jillian and I to go over how to make a showroom table and what should be included in one. After that Jillian and I were each assigned to create a table to be displayed. I thought it was alot of fun. I like when we get to be creative and design things. I decided to do a nautical themed high boy table. After designing the table and picking all of the linens, china, glasses, and flatware, I starting thinking about how I want to display the menu and name cards. I think that I am going to have alot of fun working on this. I can't wait until next week with I can work on it more!

Back From Break

I was out for the last week because I was on spring break, so today I had a lot of things to catch up on. I've spent most of my time so far going on different news sites in Connecticut- radio stations, news channels, newspapers- and adding the Bachelor and Bachelorette Auction into their community calendars and submitting the press release for the event to the different places. Hopefully this will help in spreading the word about the event across the state.

I also made a few phone calls to try to get contracts set up. We have confirmation for both the band, Covington Circle, and the MC, Damon Scott, but it is best to always have contracts so that just in case something happens, you know for sure that they will be there and everyone is clear on what was agreed upon.

I also went through the applicants that we've received so far and notified them of their selection to be in the auction as a bachelor or bachelorette. We still need to recruit more participants, especially women.

I can't believe we have just a little over a month left! I look forwarding to seeing how everything pulls together. The dates that we've received so far seem great and I think everyone is going to have a lot of fun!

Update

Since my last post we have figured out some more things for the auction. Last week we finalized a few more things within the budget so that we could determine the final ticket price. For an advance ticket the price of the event will be $25 and at the door it will be $30. We were able to update all of the flyers with this information so that we can start posting them around town and distribute them. Having flyers circulating is definitely going to help to get the word out about the event. Also, to help with getting the word out, today I wrote a press release about the auction. Since Elissa is in Las Vegas for the week, I emailed it to her and am waiting for her approval.

Donations and participant applications are starting to roll in! Once more come in, we will be able to set up the date packages. Today I need to make some follow up calls to make sure that donors and participants don't forget to send in everything! I also want to send out donor commitment forms to ensure that everything we've been told we will be getting, we actually receive.

The past couple weeks Jillian has not been here and I will be out for the next week so I also need to make a list of everything that Jillian will need to know when she gets back. I think that it is important that she knows what I've been up to so that she isn't lost when she comes in on Tuesday and I am not here. With her gone I realized how important proper notes and communication is. There have been a few instances where I wasn't sure where something was, or what a person was calling in reference to because I didn't have her notes from before she left.

Next Thursday when Jillian and I are both back in the office hopefully we can finalize some more details on the auction. For the most part all of the hard work is done and now we mainly need to focus on packaging the dates and selling tickets!

On Friday, I got to go to a networking event at UCONN. It was a night for wedding and event professionals to meet, talk, and make connections with each other. When we got there Elissa told Jillian and I that we had to go mix and mingle on our own and leave there that night with business cards from 5 contacts we made. At first I was nervous! All of the people there were professionals and I was just an intern, so I was thinking, "What is going to make them want to talk to me?" Then I took a deep breath and realized, none of them knew who I was and it was up to me to create their impression of me. Not only was I representing myself to these people I was about to meet, but also Perfect Productions. I actually was able to utilize social and conversation skills that I had learned through my years in my sorority, Delta Gamma's recruitment room. I had five minutes to make an impression on the people I was about to talk to so I had to put on my best face and make conversation. After the first woman I met, things just got easier. I think it is always a little awkward and uncomfortable when you know you have to talk to people you don't know, but I quickly got used to it. I think it is something that is learned with time and I am sure I will eventually not be as nervous. In the end though, I came out with 9 business cards from new people I had met.

I hope that I get to attend more events like this because I can see how important it is to network and make connections with other people who attend these events. You can find new companies to work with, see who else is doing things similar to you, and become a part of other people's preferred vendor lists. I think it was a really good experience overall and I didn't think that in just the couple hours I was there I would be able to make so many contacts and learn so much.

Big Things...

Today I spent most of the day working on the flyer for the Buy a Date & Be the Change Bachelor and Bachelorette Auction. It was really time consuming but I finished it! I really like how it turned out in the end. At first I didn't really like it, but after meeting with Brian and Elissa, they helped me to make a few minor changes to really enhance my overall concept. I really like how professional it looks. By working on it all day I'm also learning a lot about Microsoft Publisher. I had never used the program before I did the menu last week, but I'm picking it up quickly.

To help me with my terms and ideas of event management, Elissa brought me in a copy of the book "The International Dictionary of Event Management". It is full of every term I could ever need to know about the event planning industry. I ordered my own copy on Amazon about 10 minutes after look through it.

I also spoke with the owner of the Zen Bar today and our band for the night, Covington Circle, is confirmed! Great news. Now that we have the band set, I was able to add them into the flyer and now we can put those into production.

So overall only a few things happened today, but they were all big things that are moving us forward.

Snowy Day Fun

On Tuesday it was snowing like crazy so we ended up leaving early. But while we were here, Elissa taught Jillian and I alot of things that could end up being really useful. First, Elissa told us about Travel Agent University and all the programs it had. It is a website that offers courses with readings on different areas followed by an exam at the end, which will help you to become a specialist in different areas. At first I didn't see how I could benefit from it since I don't want to be a travel agent, but then Elissa explained how so much of event planning ends up in planning trips also. You could get hired to plan a wedding for a couple that they want to have in Bermuda. Learning about different places and airlines and becoming a specialist in different areas could really end up helping.

I also helped Elissa with more of the JDRF event. She taught me a little bit about A/V and rigging maps and how to make sure that your rigging will line up with the space of the event. I then went back into Event Pro and entered the whole set up of the A/V company into the script. Having all of the details of what equipment will be needed for what at the event during set up will be helpful to everyone with the script because it is good to make sure that everyone is on the same page and knows what is happening to avoid conflicts or potential problems during set up.

After that we worked a little bit more on the auction. Our biggest problem has been getting people to agree to participate. Soliciting people to want to auction themselves off in a date has been a challenge. All of the people we have so far are people that we knew personally. We've found though that we've had better luck getting people to participate if we talk to them and ask in person, as opposed to calling. My goal is to have at least 10 participants signed up within the next week. We'll see how well we do!

End of the Week

Today was kind of a quiet day. I met with Brian this morning to see what had to be done today and go over my themed menu. I was nervous when I sent it to him Tuesday because I wasn't sure if it was what they had in mind or if it was detailed enough. It turned out that he and Elissa both really liked it which I thought was great. I was really glad that I did well with my first assignment. They only had minor suggestions for me about things to change. I'm happy with the how the final product turned out. I think that the overall design, color scheme, and food choices match well with the theme.

After I finished the menu I did another case study. I seem to be understanding them better, or so I hope. With each one I learn something new, or have to think of things in a way I wouldn't have normally.

For the rest of the afternoon I followed up with some things for the Bachelor & Bachelorette Auction. I made more calls to local businesses asking for potential participants. A few places seemed interested so I emailed and faxed out applications. Finding people to participate has been a little bit harder than I had anticipated. A lot of people seem to be too shy to want to participate themselves, but seem willing to pass the application along to coworkers. The Zen Bar, where we will be hosting the event, is still working on confirming a local band to play at the event. Hopefully they will have the date available and be able to be a part of this. I think having a live band will make the night just that much more fun.

Next week I have a lot to do. Jillian was out today, but on Tuesday we need to work together to design fliers, create tickets and set a price, and finalize centerpieces. The Pink Petunia florist offered to donate flowers for the event so we want to make sure we let her know far in advance what we'd like. We will also need to continue to make calls for donations and participants. It should be a busy week!

Catch up day

Today I spent most of the day working on catching up on assignments. I worked on case studies and my themed menu. When doing case studies, I realized that there's a lot I need to learn about the business end of this industry. Since I attend the Hartford Art School and my major is Photography, I understand the design end of events, but I don't have much experience in the business end, because I haven't had to take any classes related to that. I learned most of my knowledge on how to plan an event through my positions in my university's chapter of Delta Gamma Fraternity. I was responsible for planning recruitment events, and social events like semi and formal. I learned important aspects like how to stay under budget, follow contracts, risk management, establish themes, create a menu etc. but I didn't have to deal with the marketing end. I always knew who would be attending and what the budget per person was. Through reading all the cases I've been given, and answering the questions related to them, I have been able to research terms and concepts that I hadn't really thought about before.

I really enjoy the fact that at Perfect Productions, interns aren't just assistants filing paperwork or doing meaningless tasks. When I was first handed my internship handbook I was taken aback at the amount of assignments, readings, and case studies in it. I'm so glad though that they are included in this program so that I can be exposed to new ideas and issues that I wouldn't have been before. I think its really great that Perfect Productions is so dedicated to helping their interns succeed and learn all that they need in this field. Elissa, Brian, and Amanda always take time to stop and tell Jillian and I little tips that they have learned through experience that we wouldn't have known otherwise. I'm excited to see what I'll learn next...

Week 2

Last week a lot happened. Jillian and I continued to work on the Bachelor & Bachelorette Auction we are having at the Zen Bar in Plainville, CT. We finalized the application for participants and worked on getting more donations for the event. We are trying to put together full date packages so not only do you get the participant, but also the dream date fully paid for through donations. We have some great dates planned out that I'm sure people will love ranging from Yankee tickets to a limo ride and dinner. We are still working on getting participants. We've called local businesses and emailed out applications. our goal is to have 10 men and 10 women to auction off dates with.

In addition to the auction, I have been helping with the Juvenile Diabetes Research Foundation event that Perfect Productions is planning. I went through all the contracts and wrote a script for the night so that at the day of the event, everyone involved can have a copy and know the time line for the night and who is doing what.

Through working on these events I have learned a lot. Even when a task seems small you are still learning. In calling and emailing asking for participants and donations I learned how to sound professional in phone calls and emails. When creating the script for JDRF I was learning how to use the Event Pro planner program that is used for every event. I also learned how important it is to create a script and the benefits of having one.

A Productive Week, At That.

The second week at Perfect Productions has been an interesting one. With computer server issues and client miscommunication, I am truly getting a real insight as to what happens when things go wrong. To follow-up from last week, Nicole and I have continued to work diligently on the bachelor and bachelorette auction to benefit the Petit Family Foundation. I have spent most of the day calling local businesses and restaurants for donations again. I am not sure how successful I am being because the follow-up rate with each of these companies is three to four weeks. I am hoping that a lot of the date ideas pull through: tickets to see Jerry Seinfield in Hartford, a horse and carriage drawn vineyard tour, a hot air balloon ride around New York and CT and hefty gift certificates for a dinner for two at restaurants in the area.

Aside from the auction, I was assigned another project on Tuesday. While this project also deals with sponsorship, it’s more relative to the sponsorship and donation I have looked for before for the Fight Against Domestic Violence. I am looking for major donations from local and national companies to benefit the Manchester Community College. I spent a few hours going through booklets from past events Perfect Productions has reached out to for donations and the booklets from past benefit events at MCC. I will putting more efforts towards calling these places for donations soon.

I am hoping to gather everything I am quickly learning at Perfect Productions through my hands-on experience and all of the amazing information in the Internship Handbook to help out a few people with their upcoming weddings. A son of one of the student center staff members at school is getting married in the fall and apparently has a bride-to-be that can’t make any decisions herself. Maria – the staff member – begged me for my help the other day because she knows that this is my dream job. After reading through countless blogs, twitter accounts and ripping through every detail of theknot.com, I told Maria I will help them in any way possible. She said it’s the little things she needs helps with: decision making about colors, centerpieces and venues.

I don’t think I’d be able to make any of these phone calls – talking on the phone = a phobia of mine – if I hadn’t been thrown into phone calling the last two weeks at Perfect Productions. I am forever grateful that my phobia has been (temporarily) cured.

I look forward to the rest of the work that has to be done on the bachelor and bachelorette auction, as well as the silent auction for Manchester Community College. All in all, week two was a productive week. Can’t wait to see what week three brings…

The First Week: Perfect

The first week at Perfect Productions was just that, perfect. After learning all about our project – the bachelor and bachelorette auction – I was so excited to start working on the event. I was even more honored to begin working on the event when I found out our client was the Petit Family Foundation. The first week with Nicole consisted of a lot of “to-do” list making. When it came time to splitting up the responsibilities of this event, I volunteered to be responsible for contacting local restaurants and businesses to donate for the event. I was excited to take on this responsibility, because after all of my work with Alpha Chi Omega and reaching out for sponsorships for the fight against domestic violence, contacting sponsors comes naturally to me. While there were a few bumps in the road the first few days, I rapidly became successful at getting in touch with companies and businesses all over CT to donate items or activities for the dates.

The first week, Nicole and I also met with Zen Bar to discuss a few more specific details of the event. So far, the parts of this event that Nicole and I are working on include: the small details, application and participant forms and contacting businesses for donations and participants. This week, I have also just been trying to get all of the processes of Perfect Production under my belt. It’s comforting to know that the forms that have to be filled out, logs that need to be kept and assignments that need to be completed all run on a timeline and are very organized. From little things like extensions to dial when making phone calls, the correct way to format letters and the correct wording that should be used in correspondence’s, it’s been extremely helpful to organize everything that we’re working on.

If I’ve learned this much in the first week, I look forward to everything else I am going to learn in the weeks to come.

First week, Personality Test, and Auction

This week I started as an intern at Perfect Productions. From now until May I will be here every Tuesday and Thursday learning about the company, industry, and planning. Over the past few weeks I had been able to come in and get a little bit of a head start by meeting with the previous interns to start work on the Bachelor & Bachelorette Auction we will be having in April, so on Tuesday I met with Jillian, the other intern, and caught her up to speed. We then met with Brian and Elissa to get a basic overview of what would be expected of us in the next few months. In our meeting with then, they gave us further information on what had been accomplished on the event up to that point. They also gave us our handbook and explained different tasks we would be responsible for each week.

The first thing we had to do after our meeting with them was take the DISC personality test. The test includes a series of phrases and we had to say which were most like us, and which were least like us in each set. After completing all 28 sets, the tally at the end tells you what is most like you. According to this, I fell in to the Compliance category. Most of what it says about me seems to be true. By taking this test I was able to have characteristics about myself that I may not have noticed, brought to my attention which was interesting to me, and a little scary when I thought about how accurate certain parts were. I am an analytical person who is often times very careful and precise in what I do. I also tend to have high standards. A weakness though, is that I do need clear-cut boundaries for actions and relationships. I think doing this test was a great way to start off so that I could not only learn more about myself, but also compare myself to everyone else in the office and see how we will work together.

After taking the test, our focus for the rest of Tuesday and all of today has been on the Bachelor & Bachelorette Auction, "Buy a Date & Be the Change". Together Jillian and I are responsible for everything related to the event. It is a fund raising event with a portion of the proceeds going to the Petit Family Foundation. We will be having it at the Zen Bar in Plainville, CT on April 22nd. Tuesday we went to Zen Bar to meet with the owner and go over some details of the event. Getting the date finalized on Tuesday was really important because now we can move forward with fliers, applications, donations, etc. Without the date, everything had been a standstill. Today we finished up most of the paperwork we need in order to get applicants and sponsors for the event and are making alot of phone calls.

I can't believe how fast Tuesday and Today have gone by. I feel like I have already learned so much in just the few things we have taken on, from how to properly set up and word a professional letter, to how to make a phone call and sound professional, to the importance of double and triple checking documents. There is a lot of work to be done and I look forward to the next couple of months and seeing how our event turns out.

Introduction

After four years of college and only three more months to go until graduation, I have finally found the perfect internship. I know how common it is for a little girl to have a moment where she realizes she wants to grow up and become a wedding planner or an event planner. Of course, I was one of those little girls. Throughout my college experience I have taken every leadership opportunity possible and every time I find myself being heavily involved in the planning and executing of events. When I had just two years of college and leadership planning under my belt, my mother gave me my dream task: plan her wedding to my step-father. After eight months of endless vendor phone calls, color coordination decisions, meal tasting and trips to florists, I had finally helped her put together her second wedding, but by far the most perfect wedding for her. It was after the wedding was over that I realized if I could get a foot in the door with event planning, this would be my perfect fit as well as my dream job.

After tirelessly searching for an internship, I came across Perfect Productions and knew it was the right fit. I was thrilled when I was offered an internship for this spring semester; my final semester of college.

Being a public relations major at Quinnipiac University I have been able to explore different aspects of PR, as well as other marketing and communication departments. Having taken courses in Non-Profit PR, Internet Marketing, Business-to-Business Marketing, MK & PR campaigns and Services PR & Marketing, I have had the opportunity to create my own non-profit organization from scratch and complete all of the necessary PR and marketing, as well as take a corporation like Elvis Presley Enterprises and create an entirely new public relations and marketing campaign.

The internship program at Perfect Productions is structured perfectly so that each week we are relating what we're learning through the analysis of case studies to the projects that we are working on. As well, there will be daily blogs regarding my experiences. While I am confident that my past experiences and classes will benefit me during my time at Perfect Productions, I am beyond excited to take on the challenges and learn everything that I can.

I look forward to the next three months and all that it's going to offer.

Writing a professional letter

Kate and I were given the task to write a letter of approval for a fund raising event we will be hosting. We wrote the letter together and first submitted it to Elissa, Brian and Amanda. Once they went over the letter we wrote we had a meeting with them and they talked to us about what a proper professional business letter should consist of and what it should look like. This was the first time both Kate or I have written a letter in the business field so it took some practice and critiquing from them to help us understand how the letter should look. We learned that the letter needs to include specifics about the event and a background about our company and what we do. We also needed to add information about Elissa and ourselves. The revised letter had more of a professional flow and gave a better idea about what the event would entail. It was more to the point and someone who was not planning the event would have an idea of what exactly we are trying to plan. We also learned that writing the letter we needed to address the letter to the entire company and not just a single member of that specific foundation. Seeing the revised letter really put in perspective how important a single letter can be to not only our company but also to the company we are sending it to. It shows who we are and that letter will be what represents us before we communicate with the foundation as a whole in any other way.

Stuff in my toolbox

Part of my time here at Perfect Productions is working on assignments in my binder. One of these assignments is that I am stuck on a deserted island and I have to run an event. If all I had was the set up event and my toolbox, what would I bring in my toolbox so that I could fix any problem that arises during the event. Many of the things I would have in my toolbox correspond with different types of events.
For every event no matter what it is there are always the basic necessities that you would need. For my basics I would choose a first aid kit in case anything small goes wrong that can be easily dealt with. Also I would have walkie talkies for everyone working the party, that way we can all be in contact with each other if necessary at any time. I would definitely need to have my planner and notebook with all of the information to go with that event, and the phone numbers of people I would need to be in contact with who are attending the event. Pen, pencil, and a black sharpie are very important to write anything down in my planner. Having almost all the necessities of an office in my toolbox will be helpful if anything seems to go wrong like scissors, double sided tape, glue, safety pins, and a sewing kit. Anything can go wrong from the decorations being ripped or falling, to a broken heel or ripped dress or suit.

Some things I have thought of only pertain to a few choice events. I would need floral tape and floral pins. If anything were to go wrong with a bride bouquet or the boutonnieres on the wedding party I would be able to fix them. I would bring a calligraphy pen for a fancy wedding or gala in case something with name tags, or place settings were wrong. Every persons name is not going to be perfect and some people were bringing someone they weren’t planning on or depending on the event someone may have just come. Also, ribbon has so many different uses. I would bring ribbon the same color as the event to fix many things, it may fix the bouquet again, it may fix a dress, and it may fix part of a table setting or a piece of decoration. With a wedding it is important that everyone looks good. I would need to have an extra of almost anything a bride would need, including hair supplies like a curling iron and hairspray, along with make up and deodorant and everything to earring backs. If the bride can remember anything its how beautiful she was and how she felt that day.

A couple other things I would bring for me, or anyone at the event that needed it are deodorant, mints, feminine products, medicine like Advil and Excedrine headache, eye drops, nose spray in case of a bloody nose, hand sanitizer, a lint roller, bobby pins, a contact kit for those who have contacts and they needed to clean it or even for me if anything were to go wrong with mine, and tissues. These are all items that more people would need during an event at anytime if something were to go wrong with a person rather than the whole event.

When thinking about business I would bring a few extra things to network, and market a little. If someone is impressed with the event it is likely they will think to go to you for their next event they need planned. I would always bring business cards, if someone is impressed I would want them to know that I did it and I would be more than happy to plan their next event. I would also bring a camera, that way I can make a book or some kind of poster to show new clients that come into the office so they can see what kind of events I have done.

There are many things I would need to have with me to fix an event or make it run smoothly, however these are just a few. There are many things I could fix with these items, but not everything can be fixed in an event. Some things may go wrong that you can not fix with just the things you brought, but for little mishaps, these items will help to fix the problem and help the event run smoothly.

Tool Box assignment

As an intern I was given an assignment to complete that would force me to think outside the box. I was given the toolbox project to help me understand what is important for event planners to bring with them to any event. These items were to be thought of as if i were on a deserted island and all that was with me was what I brought in my toolbox. A few things I would bring are.

The first thing I would bring is a planner I choose this because in order to stay on task and know what needs to be done when, you must have you event scheduled with exact times written down and when different things need to be done. The next thing that would be important would be a writing utensil such as a pen or pencil this is important because you will need to write down things as they come up or as they change from what you had previously planned. The event will not always flow smoothly and change is possible to occur no matter how organized you may be. I also thought that a first aid kit would be extremely important not only for the fact that someone may get hurt or need something from the kit but also because if your doing an event such as a wedding and the bride's shoes are giving her blisters a band aid would be the perfect way to help fix that.

I would also bring a sewing kit to fix any rips in clothes, to pin any dresses that may not fit properly or any of the table centerpieces that may need fixing such as a table cloth that is to long. Along with the sewing kit scissors, a ruler and safety pins will also be necessary for any last minute fixings that may need to be done. Another important item that I would bring is a watch or a clock. I would bring this becuase being an event planner means staying on a schedule and staying on time while you are doing the event.

The next thing to bring is a cell phone this is important because it is important to keep in touch with everyone who is involved with the event and keeping everyone on task throughout the planning process as well as when you are actually at the event. An extension cord will also be important in case something is brought to the event and needs a place to be plugged in or if there our outlets but the item you are using will not reach. I would bring a few of my business cards to help with the networking of my company and as a way to get my name out there to anyone else who plans on having a party they need planned. I feel that bobby pins, hair brushes and combs and hair spray are also very necessary because if you are doing a wedding and a bride or groom or anyone in the wedding party needs to fix their hair they will be all set. Tissues and hand sanitizer are also very important to have in your toolbox not only for health reasons but also if someone is crying at an event having tissues on hand are key.

These are just a few of the things I would keep in my toolbox while I am at an event.

Goals

As I have been working as an intern I have come up with a few different goals for myself while working at Perfect Productions.

I want to accomplish the understanding and the procedure of what it takes to plan a successful event. As I started my internship I was given tasks such as calling different vendors for quotes on prices for different things, this helped me to feel comfortable talking with people over the phone and learning the correct ways to talk to someone in a business setting. I need to ask questions when I don’t understand or when I need assistance with a task given to me. I was also given a task to plan an event along with the other two interns. We were given the event and it is up to us to plan the entire event and call stay in touch with one and other to make sure everyone is on the same page with the event. I must also stay in touch with my boss and the owner of the specific venue we are holding the event at. Because this event is being done to help raise money for a specific foundation we must also contact different restaurants and other vendors to help with donations. It is also my duty to come up with the décor for the event, creating centerpieces and the other décor needed for the event.A few different resources will be extremely necessary throughout the entire planning process. I will need the help from the other interns because we are working on this event together and we must all agree on the different things that are being put into the event such as the décor and who we are going to ask donations from. I also will need the help from my boss’s each of them are very easy to work with and are always eager to help whenever they can. The internet will also be crucial because I do need to look up different restaurants and vendors that can be used as donations. Calling different people is also very important because I have learned how it is so important for me to communicate with others and to keep everyone up to date on what we are doing and what we have been working on for the particular event. To accomplish this goal I will have to work carefully with everyone involved, if one small detail is left out the entire event can be changed, staying organized and on task is also detrimental to the event. Knowing exactly what needs to be done and when it needs to be done will show not only the person you are planning the event for how on task you are and how much you are really concerned with the quality of the event but in the long run it will also help you to know what the next step is in planning the event you may be working on.

My next goal is I want to be a part of the planning process and work through all of the obstacles event planners must go through for each event they plan. To accomplish this goal I will need to work hard not only with the other interns but also with my boss’s all of their extra support and assistance will be vital to the success of the event. When something seems to be going wrong while planning the event it will be very important to communicate with everyone involved with the event and making sure everyone is on the same page. The resources that will help me most with this goal are the people I am working with, whether it is the client, my co workers or vendors and different venues communication is crucial to success while planning events.If everyone is on the same page throughout the event and there are little to know conflicts about what is going on while we are planning the event I will know that I accomplished my goal. Also if I can work through the obstacles that may come with the planning process and fix any errors that may arise, leaving the client happy I will know my goal has been achieved.

Finally I hope to see the behind the scenes work at events and what makes an event flow smoothly every step of the way. With the event that was given to me and the other interns to complete I am seeing how much work really goes into planning an event, even though the person you are planning it for only sees the outcome minus all of the stress and hectic schedules that must be followed. I will be coming back to my internship site for the actually event to see how all of the work prior pays off. The resources I will use are my co workers and the help from everyone in the office; I will also have to work closely with the venue director who will help largely with the setting up of the event and also working with us as a partner throughout the event. I will also have to call different vendors for donations and finding quotes on different items needed for the event. I will know if I accomplished this goal because if while I am at the event and everyone knows exactly what they need to be doing and when they need to do it, everything will be running smoothly and even if it is hectic while planning the event, the outcome and the happiness of the clients are really the only thing that matters.

Communication and Organization

Right now Margie and I are working on a business class bachelor and bachelorette fund raising auction. It is really our event to roll with however Margie and I will be leaving on Friday. Next week another intern, Nicole, starts and she will take over for us while we are at school. Throughout the last week we have kept in contact with Nicole through email and phone calls so that there is no gap when we leave and she comes. Nicole even came in to meet with us on Friday so she could see everything we had done and even help us out with fixing what we had done as well as ideas on how to move forward.

Meeting with Nicole was a good thing for all three of us. We got to go over everything we have done and make that perfect so we can all agree, and work on some new things all together while she was in the office. After Margie and I leave we will still be involved with the event, we are just switching roles. Nicole will be here in the office and keeping in contact with us to get our input. We will all meet together again at the event to make sure it all runs smoothly.

Planning an event like this can be tricky but everything will work out great as long as we can communicate with each other well and often. I know I will still want to be very involved in every aspect of the event while I am at school, just as Nicole wants to be a part of it now. With us leaving Nicole needs to know everything that we have worked on so far so we need to tell her when we make new decisions or do something new, as well as keep everything in the office about the event organized and safe and easy for Nicole to pick up when she arrives.

Margie and I were so excited when we got this event and were very happy that we were going to get to continue with it. We will work as much as we can on this auction before we leave, and get to see it through which is a great learning experience and we all get to see and learn the importance of communication in all businesses. Even just this morning we had a meeting with Brian to let him know everything that we did for the last week while he was gone. He told us just how important it was to keep everything we had organized and clear so he or anyone else could find what they needed.

Communication and Organization are some of the most important things when planning and event with a team. You may understand where something is and what was going on in you head, but anyone else is not going to know where anything is and what you have done so far so they don't need to do it.

Rose Meanings

For an event Perfect Productions put on this weekend I was asked to look up the meaning of different rose colors. Many people don't know that each color has their own special meaning. Even the different shades of colors can mean different things. Some people may know the meanings of the popular and usual roses, however there are some funky ones out there that are not as well known.

Red roses most commonly mean love, beauty, courage and respect, "I Love You", and passion. A single red rose means "I love you" and if the red is very dark or burgundy then it means unconscious beauty.

Pink roses generally mean perfect happiness. However dark pink roses mean appreciation, gratitude, and thank you, when Light Pink is a sign of admiration, sympathy, gentleness, grace, gladness, joy, sweetness.
White roses are a sign of purity, innocence, silence, secrecy, reverence, humility. They are often found on grave stones and at funerals because of their solemn meaning. However found at a wedding white roses mean happy love.

Yellow roses mean joy, gladness, friendship, delight, and promise of a new beginning. If this yellow rose is tipped with red then it means friendship and falling in love. Even having different color tips can mean something else.

As for non well know roses they all have their own separate meanings as well. Orange can be a sign for passion, desire, enthusiasm, and fascination. A lighter orange or peach means serenity and modesty. Purple or lavender flowers mean love at first sight and enchantment. Blue roses are a sign of unattainable or impossible, and black flowers mean death and farewell.

All different kinds of roses have different meanings, some colors not well known at all. In fact some of these roses are not seen very often in everyday life. Not many other flowers have meanings for each of the colors, so roses have become even more popular to give to others.

Today we had a meeting with Brian and Amanda to discuss what we have been working on while Brian and Elissa were out of the office last week. I learned how important it is to open my mouth especially in this business. If there are questions that need to be answered the only way they will be is if I ask. Both Brian and Amanda stressed the importance of sticking up for ourselves, if we just sit back and watch everything that goes on we aren't making a name for ourselves or getting anywhere. This business is all about networking which is what I have learned from this internship, the only way to network is to open your mouth and talk to people. If you don't then you will be sorry in the long run when you either don't have the vendor you could have if you made a phone call like someone at another company may have done. Its competition and to compete with other companies and other people you need to make a name for not only yourself but also for your entire company. If questions are not asked then how will you find an answer? It is much easier for you to ask and continue working on tasks than to not ask and sit and wait around while you could be working on the things that need to get done. This meeting was extremely beneficial because I now know that questions do come up and its okay to ask them. It shows that you want to learn and you want to get things done, rather than just letting the questions pile up so you can't work on the important things that need to be done. Not only was it beneficial for this internship it was also very helpful to hear this for my own life. Hearing Amanda and Brian continue to stress the importance of asking questions and making a name for myself helps me understand that I can't just watch I have to learn to take actions into my own hands and do what needs to be done.

Apples to Apples

Today in the office we did a team building activity as a part of the FISH philosophy. Part of FISH is getting the whole office together to do an activity of some kind, or doing something new to become closer in the office and even get to know each other a little more. Today Margie and I presented Amanda and Brian with the game Apples to Apples. Anyone who has played Apples to Apples knows how fun and hilarious it can be, but not a lot of people take the time to think of how good the game is for other purposes. Apples to Apples was a creative way to bring our office together and to have fun.

In the FISH philosophy there is a part that is called "Be Here Now". This means that all people should be together and take the time to be involved in something other than work. Today we are the only four in the office and we all sat down together at a table to engage in playing the game. Even though we only played for a little while it broke up the day and got me really in the mood to get back to work. In apples to apples everyone is involved at all times, whether playing a card or judging a group of cards. Most of them are funny, and you can really get to know the poeple around you playing it. It can be a great ice breaker when meeting new people as well. During orientation my first week of college I played with a bunch of girls on my floor, we laughed, got to know each other and everyone's personalities. It was a great way to get involved.

Another part of FISH is to "focus on one person at a time" and that can also be seen when playing this game. One person judges everyone's cards which means everyone is focusing on the judge and what hes going to pick, as well as the judge is focusing on each and every card to pick the best one that suits the word and their personality.

Apples to Apples has nothing to do with what our company does, but that it what was so great about it. Its Monday noon time and everyone is a little slow. To break up the day and play fifteen minutes of a game that made us laugh and get to know each other was awesome. We had a lot of fun and I already feel closer with my co workers. We are all in good moods now and are ready to go on with a productive day and rest of the week.

Today it was just Amanda and I in the office and we went over some of the things I have done for the bachelor and bachelorette auction. I learned some very important and extremely necessary tips for writing a business letter and when making fliers for different events. My task was to write a letter to the Petit Family Foundation asking them for approval for us to hold the event and have donations given to their foundation, before I was able to send the letter in Amanda, Elissa and Brian were sent the letter so that they could check it and make sure it met the standards of the company. This was such an excellent project because I had to keep in mind what the company stands for and how I would be representing Perfect Productions in this letter. Today Amanda went over the letter with me and talked to me about how when writing a business letter its important to have a letter header, and how the set up of a professional business letter should look, with the companies address at the top and the company that the letter concerns below it. Once Amanda taught me the correct way and seeing how much more professional it looked compared to the rough draft i did i was surprised how one small change would be so important.
The next thing I did today was create a flier for fund raising event. This was another task that I learned from. I created a flier previously this week but knew it wouldn't suffice. When Amanda showed me different examples of fliers they had used in the past I could see a huge difference from the one I initially made. I spent a lot of time trying different formats out to see which would look best for this particular event. Once I found a template that I liked I worked on adding all of the information and logistics that coincide with the event. For example the time of the event, the date, the location and of course what the event is and what it is benefiting.

Both of these different things really helped me see how by changing one simple task it can make a huge difference to the way people view your company. Taking a little extra time to make a letter or a flier or anything else you may send out is something I have learned to be extremely important.

Setting the perfect menu

As an intern at Perfect Productions one of my assignments is to create a themed menu. This assignment is one that is both fun and exciting, also I would think that nobody's menus will be the same. The first step in creating a themed menu is to first have a theme for the party or event. Depending on the size of the event the amount of options that will be served is crucial to those details. Once the theme of the event is set and the portions are instilled, it is important to then decide how many courses will be served. If its a small get together are they serving only hors'dourves or is it a full four course dinner? Once that is decided you can then pick the foods and drinks that will be served. The menu should relate to the theme and have foods that can be in relation to what theme is going on for the entire event. Creating an event that has a menu and a theme that are coincided with one and another can really make the whole event much more exciting and fun for not only the guests but also the person who is planning the event. It gives the planner a chance to use creativity and their own personal style to create an event that everyone will love.

How to Write a Engagement Announcment

There are a few certain things that need to be included into an engagement announcement.

First there needs to be the names of those who are getting married, and their parent's names. It is important to put where the parents live because then people reading the newspaper will know why. Also putting where the ones getting married are living at the moment. A picture of the couple would be a great touch, and readers will like to see.

Having a little biographical blurb about the bride and groom is a good thing because it lets the reader get to know a little bit about their lives and how the couple met. In this section there will be the schools they attended, and what their current occupations are. It will let the reader know what the bride and groom have done with their lives. Most people will want to know where they will live and what they plan on doing after the wedding as well.

Giving the details of the wedding can be very important. Maybe if an old friend saw this and wanted to go to the ceremony to congratulate the couple they would be able to know where and when it is. If you give everyone the date and time of the wedding then you would also need to add in what people should wear. Not all weddings are the same attire, and it is important to know what to wear.

If the town is small there are some other important details to add. The officiant's name, names of the family members in the wedding, names of those in the wedding parties, and where the reception is. All of these are interesting to people who know the family well.

An engagement announcement is really to ones own discretion, however there are some important things that need to be involved. They should not be too long, and too intense so no one wants to read it. However it needs to be informative, and not leave the reader with questions to ask.

Importance of networking

Today I went to a guest speaker at the Chamber of Commerce in Bristol Ct. The guest speaker was Kathy McAfee and she spoke about women in business. It was very interesting and I feel that I learned so much from her. As I was listening to her speak about the importance of networking I was also able to relate to what she was explaining to us because as I have been working at Perfect Productions Amanda has also explained to us how important networking is. One of the most beneficial things I learned from Kathy was when you are networking you are representing yourself and what you and your business has to offer. I also learned how important it is to get comfortable and know I can be myself when networking, to have conversations with the people you are networking with and find commonalities between you and the person you are working with. When talking to people who may be future clients it is important to “perfect your pitch” and in doing this you make an initial name for yourself and that is what people will remember from you. When starting presentation to clients ask them a question that relates to your company for example, “Do you want your wedding to be one everyone will remember?” By doing this it creates a way for the people to become engaged and you catch their attention. I also learned that by giving someone a proper handshake can really make or break the connection you have with that person. Giving a firm handshake shows how you feel about yourself and your self confidence; giving someone a weak handshake can send off a timid impression of yourself. I learned so much from this and I now know how important it is to be myself when I am talking to people and not be afraid to talk to people.

We are also working on a fund raising auction to help benefit the Petit Family Foundation; it is going to be a bachelor and bachelorette auction. There is a lot of work that needs to be done to get the event ready, I have learned a lot about how important it is to keep contacting everyone involved and to make sure everyone is on the same page with what is put into the event. I am very excited to continue to work on this specific event, with local restaurants, store’s and radio stations involved with it.

Easy and inexpensive scrap booking tips!

This week Margie and I got started on a project to make a scrapbook of former events Perfect Productions has done, almost as a portfolio. Scrap booking is easy and most of the things around your house can create a great scrapbook page, or little things can be used to make the page more special.

When creating a scrapbook for a baby, the best way to make it personal and special is to have the baby's hand prints or foot prints. When looking back in years seeing the hand or footprints will be an inexpensive special touch.

Most households have at least one Hawaiian lei that is not being used. Either left over from a birthday party, or Halloween it is underused and taking up space. To cut down on the clutter, you can cut it up and make it a border for a scrapbook page of a vacation, that birthday party, or the Halloween it is left over from even. This gives the page a little extra depth, color, and creativity while cutting down on clutter not used in your house with no cost to you.

One of the best scrap booking tricks I can give you is to save as much as you can from vacations, birthdays, holidays, and family parties. These can be used as great decor on a scrapbook page! If you keep each event for a page in a folder then nothing gets lost, and you will be able to go back and quickly make a page! I went to Florida on vacation with my family, and I saved EVERYTHING. When I came home to make my scrap book it took very little time and was a fun way to remember the vacation. My pages were full of pictures, Disney and Sea World Tickets, and even score cards from my putt putt games. When looking back on it I'll remember those days at the parks and when I finally beat my brother in mini golf! They are special to me, and tell a story of how my vacation was. The only purchases I had to even make were letter stickers and glue!

Scrap booking is easy and can be very affordable. Some scrap books you see will be full of stickers and other accessories that add up in expenses. Maybe pick a couple pages to have special stickers from the store, or 3d accessories, like a big milestone in your life. The best part about a scrapbook is to tell a story of your experience, and to be able to look back and remember. If you take your own things, you will save money and it will be more homemade and genuinely special to you!

As I have been interning here at Perfect Productions I have learned how important communication is to a company and how working together with everyone involved in the company is the only way things will get done on time and correctly.
So far this week I have contacted different travel destinations and updated our supply of brochures from each of those different places. This was a great learning experience for myself and it taught me to have confidence talking with people over the phone. I was also asked to contact a vendor about a product Perfect Productions is going to use in a future event for a centerpiece. Doing this task taught me that I would have to call more than just one vendor to get prices and availability of different products. It also taught me how it doesn’t take only one phone call to a company to answer all of the questions that you need to be answered, and being persistent is important in this industry. I learned that communicating with Elissa and Amanda about this particular product is also very important because they both know exactly what they want and what they need, this is another aspect of how important communication is. The next task I was given was to sort pictures, newspaper articles, tickets, invitations and other items that were important to particular events and get them put into organized piles in relevance to each event. Once Elissa looks over all of the piles I will then be working on scrapbooking everything so that Perfect Productions has their own copy and so that interested clients come to the company for assistance in planning an event they have something to look at as an example of what previous events were planned by Perfect Productions.
Today I was asked to make photo copies of different purchase orders, hole punch them and put the original back in the binder and give the copy to Amanda who then filled them away. I then had to separate bank statements and but them into individual piles according to the account number. While I was making the photo copies of the purchase orders I learned that we were doing it to help organize what had been bought and the amounts of money that had been spent. This helps keep everything balanced.
I have been learning so much already about organization, working with others and how to complete tasks when assigned. I am having so much fun working in the office with people who care so much about their job and how the business is run. Although, it is a serious job and things must get done and they must get done right, everyone is very nice and knows how to have fun and make you laugh.

Learning Goals

My internship with Perfect Productions is very short so it is especially important for me to have certain goals to strive for so I can stay focused and learn as much as possible. I have come up with a couple goals to grow in the hospitality industry and also in myself.

First off I would like to get over my fear of calling people on the phone. I know it’s not scary; however I am still hesitant to do it. In my three days here I have already made many phone calls to receive brochures to show clients so they can decide where they would like to travel. I have also made phone calls to companies in which we are trying to buy one of their products. I had to call to find all the information about the product and shipping so that we will know the exact price, and when it will get to us. After I got into the mode of calling people it got easier, but then next morning it was just as nerve racking to call that first person. I am going to need to call vendors and get to know their information to develop a vendors list while I’m here, and if I am scared I will not be able to do as well as I want. I hope to get over my fear of that first call and to have fun with all of them from the beginning.

I want to learn a ton about marketing and networking because it is so important to hospitality. We need to get our name out there and make contacts so that our client base will expand. I feel these are very important and it would be a good skill for me to have. On Friday morning I will be going to my first “business after hours” event to network and get new business cards from others in the industry. I am so far not very good at networking and I am excited to learn more about it and how to act, this way I actually get a chance to. If I can be good at networking then I can move onto become better at marketing a company. Marketing is another skill I know very little about but it important because since there are so many event companies out there, you need something that will draw in a client. You must reel in the client in the first couple minutes to keep them interested and ultimately become a client of your company. A big part of getting a companies name out there is the internet. This is a very good example. We are letting everyone know what is going on in our company and it gets people interested. Also if we put good ideas up here a person can try at home and they like it, the next time they have a party there is a good chance that person will come to our company. Facebook, Twitter, Linked In and other online networking sites are great marketing tools to get to know the company, and also the people who work there.

What I’m most excited and interested in learning is what it takes to be an event planner. I am only a freshman in college and I have a rare opportunity to learn what it takes when I still have so much to learn in classes. I want to learn all aspects of what preparation goes into an event, and how events are run after all is settled. Also I would like to learn about what happens with money and the accounting part of the company. I have learned so far that it is important to have everything organized and to keep everything, and keep it safe. We don’t want anything to be lost or out of place. Another thing about organization is everything kept from events. Yesterday we got to organize everything into which event they came from, this way a scrapbook or portfolio in a way can be made to show future clients, which is another way of appealing to the customer. It will catch their attention and the client can see what we do and how good we are at it. This is more likely to get the customer than sitting around explaining what we can do and what we have done.

However, my major goal is to be a good intern and help out as much as I can. The more I can do in the office, they more I am going to learn about this lifestyle, and the more prepared I’ll be to find a job after graduation.

Today is my first day interning at Perfect Productions. My name is Kate, and I am a freshman at Endicott College in Beverly Massachusetts. I am Majoring in Hospitality Management focusing in event planning. So far I have not learned much about event planning specifically, however the next three weeks I am excited to learn all I can. So far my experience has been learning about the company and what I will be doing here. During my three weeks here I will be blogging about things I have learned, done, or researched about in the industry. While I am here I will be able to expand my contact list, talk to venders and venues, and be able to have my first office experience. I am most excited about helping out with events, and being able to market the company. Today is just the first day, so most of my work will be small. My name is Margie Driscoll and I am a sophomore at Endicott College. Throughout our four years at Endicott we are required to complete two 120 hour internships and one semester long internships. For my second 120 hour internship I am working with Perfect Productions in Farmington Connecticut. It is the first day and I have already learned a lot about how important time management and attention to detail will be as I continue to learn the information needed to become a successful event planner. Today I have been given tasks to do such as a DISC personality training analysis, sorting wine pamphlets for future clients, also I will be working with the other intern to complete tasks given to us throughout the office such as cutting envelopes and calling different magazines to receive their newest additions. I am really looking forward to the next three weeks here at Perfect Productions and I am excited to learn more about the event industry.

Elissa gave me a exercise to do one day in the office. It was; if I was an event planner and stuck on a deserted island and all I had with me was my tool box, what would I put in it and why.

A few items I have on my list are pens, paper, glue of all types, scissors. and a hammer. Why did I pick these items. A pen so I can write with and draw a floor plan, paper so I can write on. I choose glue types of super glue, Elmers glue and Modge Podge (its amazing) and I choose them so I can make things and hold object together. Scissors to cut things down in size or cut string or rope. A hammer would be in my tool box because you can use to put things together or break things down. Some other items are a tide to-go pen, travelers sewing kit, and band aids. You truly never know when any of these objects will come in hand but it is always a good call to have them at every event.

After making the list of items there were a few questions she wanted me to answer. Why am I completing this exercise, what did I learn from it and How would I apply this exercise into my work as an Event Planner?

My answer to the first question was that I was doing to the excercise to test my knowledge on how to pack for all events and what is necessary to bring incase anything goes wrong, I will be prepared for all situations to my best ability.

The second question of what did I learn, I said that I learned that there are many items that you need to have on your packing list as an event planner,you must think of all situtaions that can go wrong and prepare for them before hand.

And lastly how will I apply this to my work as an Event planner. I said in the future I will use this exercise to help me pack for my events and be ready for any situtaion that may occur. It may seem silly to have a few of the items on me at all time but it is smart to be prepared for anything.

How to Make your Halloween Party a Howl!

Are you throwing a Halloween Party and want to get creative? Well look no further I have some fun and easy Halloween projects for you to decorate with.

Make your punch and finish it off with floating hands. Just fill up rubber gloves ties the ends tight and lay them flat in your freezer over night. When your ready to add them to the punch just remover the glove and let them float away. You can also put your punch in a witches cauldron, elevate it and add dry ice under it. It will look like fog and create a spooky feel.

When it comes to the decor, you can get very creative and make a cemetery scene anywhere in your house or at a venue. Just get green felt, lay it flat like grass and get a small wooden fence, lastly cut tombstones out. Small creative ideas that you can also do is take Halloween spider webbed woman's nylons and use them as slip covers to candle holders. Then add a little orange ribbon and fake spiders crawling up them. More candle ideas are taking small skulls and put them in the bottom of an old jelly jar and add water and floating candles. Add spider webs and fake spiders to candle sticks.

When creating a menu for a Halloween you party you have to get creative. Use simple recipes but give the dishes spooky names. For example fried pus and blood sauce, fried mozzarella sticks and marinara sauce for dipping. Using creepy names gives everyone a conversation topic and add a little spook to the whole party. You can also spice up your menu by adding the Puking Pumpkin. Take a jack-o-lantern and a thick cream cheese or sour cream based dip and have it run out of the pumpkins mouth and onto a plate. Give the guests chips and dip away!

All these ideas used together and you and your guests will have a Halloween to ralk about for years.

Plan a Themed Dinner Party

Your busy schedule has you too busy for your friends. Dinner parties are a time to get all your friends together and catch up. The same old dinner party with drinks and dinner can get a little boring after a while. Add some pizazz and make it themed. Create a theme that everyone will get into. Some ideas I thought of are;

Decade Party, choose your favorite decade and have your guests dress accordingly. For example through a 50's party and have the women wear poodle skirts with hair in pony-tails and the men in varsity letter men sweaters or leather jackets, cuffed jeans and sleeked back hair. The menu should be cheeseburgers and fries, milk-shakes and root beer floats. Decorate with records, checkerboard patterns and old coke bottles.

Another theme could be Casino Night. Make your home into a Las Vegas Casino, turn you dinning room table into a poker table, and get out some poker chips. Play cards, have a few drinks and chat away with friends. Instead of a sit down dinner, make a buffet table. Vegas buffets are all about variety so have a little bit of everything on the menu.

What about a Murder Mystery Party. Have the guest get involved in the game. Create a character for each guest to be then create clues around your house and let the fun begin. While playing the game you can have appetizers and drinks, after the game is done and the murderer is revealed all sit down and chat about them game and other topics over a delightful meal.

The Hostess of a party goes to great lengths to make sure everything is perfect for their guests. It takes a lot of time and preparation to make an event happen. Reward them with something nice and thoughtful. As I researched I found that giving food and wine was the most common. I thought it would be better to give something more memorable. Ideas that I found were items such as;

Wine Glass top appetizer plates. They make socializing easier as you walk around.

A great gift to give to someone you are close with are custom picture coasters. You can fill the coasters yourself with pictures of you and your friend or leave that to the hostess.

Those of you out there that always have that friend that is asking for your recipes for your family secrete sauces. Why not make some bottle it up and give it as a gift. Then they can have the sauce without you having to reveal the secretes. Just package it up in a glass jam container and label.

A centerpiece is the central or outstanding point or feature at an event. In the Event Planning Industry the centerpiece is what draws the eye; it is what expresses the theme of the event. When thinking about centerpieces the initials thought is flowers! Today, my mission was to find three unique centerpieces without using flowers. This was one of the coolest projects of mine because it allowed me to explore other aspects of the Event Planning Industry. When I was first assigned the project, I thought well this is going to be difficult; how on earth do you make a centerpiece without flowers? As I researched this is what I found.

The first, was a pirate themed centerpiece; it incorporated the skull head with a sword and a treasure chest, the essentials to a perfect pirate themed party.

The second unique centerpiece I found was a New Years Eve centerpiece. The base of the centerpiece is a black party hat with gold and black bows off to the left side and a gold balloon on top.

And the third, most outrageous, cool, funky centerpiece I found, was a Tiffany themed centerpiece. It looks to be an engagement party centerpiece with the base has an green engagement ring with Tiffany boxes, gold watches and gold braclets around the bottom.

Hi, My name is Shawna and I am the newest intern here at Perfect Productions. So, have you ever heard of the event planning program, SketchUp?? Well, today was the first time I have ever heard of the program. Actually, I guess you could say yesterday was the first day I heard the word SketchUp but today was my first day to use it and boy was it difficult. Its a great program and a lot of fun but let me tell you, it may look easy but it most certainly is not. I had to make a model of a bridal table I am designing for a bridal show coming up in October and putting the "components" (plates, tablecloth, chairs, silverware) in the perfect position was the most daunting of tasks. I had to make sure the plates were on top of the table perfectly and of course the silverware had to be close to one plate but not too close to the other and the centerpiece had to be right smack in the center if the table. Although, it was a long day, the model is coming along very well and is looking great might I add!

Anyways, It has been all in all a great experience so far! So stay tuned as I will be writing again to report back about the work of an intern at Perfect Productions!

Have you looked at a Wedding dress and the bottom was fluffy and scrunched in a way, as seen to the left? Elissa thought it would look great if you took that dress style and made a table cloth flow over that table just that way.

Although it took some time and much effort to get the cloth even at the bottom it was worth the hard work. It adds a little pizazz to the look of the table and will give the room a little more elegance. So forget just throwing on a decorated cloth and be creative and make it look just like a wedding dress. This will not only make the decor look great but will give all your guest something to talk about and I am sure you will see it at one of their events. You can do this a simple pattern cloth or a solid color. If your using a solid color you could put a flower or bow at each scrunched area to add little more.

Now you ask, How did I do it? It's simple yet difficult at the same time. I took rubber bands and scrunched the material up and then used the rubber bands to hold the material together. For the second layer of scrunched material I took the cloth and brought it up to the first rubber banded material and then used another rubber band to hold all the material together, you can do this as many times as you'd like. The only difficult part is that you have to watch for is the bottom of the cloth being even all the way around the table. To the right is a picture of the table I set up in the office with the scrunched table cloth bottom.

My name is Tasha and I am the new Intern here at Perfect Productions. I attended Johnson & Wales University majoring in Event Management. I got my first Events this week from Elissa and Brian. I am working on a Halloween party and the Holiday Party. They are very helpful and only being here a week and a half I am already learning a lot.

2009 Hope for Heroes Kickball Tournament

Hello Everyone!

This past weekend Perfect Productions and Liberty Bank sponsored a Charity Kickball Tournament for veterans. It was the first time this event was being held and overall it was a great day. Even though the weather was not the greatest, we made it happen as a team. The planning of the event was done by Kelly Tracey. It was her first event and she did a great job!

Six teams played in the tournament; Paw Play, Ingenix, Inovative Fitness, Perfect Productions, First & Last Tavern, and Liberty Bank. The Champions of the tournament was Liberty Bank.

Great music was played while the teams played a game they most likely have not played since gym classes in grade school. To end the day we had an amazing BBQ chicken dinner.
